PBG Copilot Privacy Policy

This policy covers pbgcopilot.com and the PBG Copilot platform, a live sales and submission copilot for licensed life insurance agents. PBG Copilot is owned and operated by PBG Consulting. This policy explains in plain language what we collect, why we collect it, who processes it on our behalf, how long we keep it, and how you can ask us to delete it. Two kinds of people appear in this policy: the licensed agents who subscribe to and use the platform, and the clients those agents speak with on a call, whose information an agent enters to prepare an insurance application.

1. Who this covers and who we are

PBG Copilot is a tool for licensed life insurance agents in the United States. Agents use it to run a live sales call, and the platform helps them capture what the client says and prepare a real insurance application. We handle two kinds of information: information about the agent who holds the account, and information about that agent's clients that the agent enters or that the platform captures during a call. For a client's information, the agent is the professional who decides what to collect and how to advise, and PBG Copilot processes that information on the agent's behalf so the agent can serve the client.

2. What we collect

  • Agent account data. The agent's name, agency name, email address, phone number, login credentials, the carriers the agent works with, and billing details needed to process a subscription.
  • Client application data. Because an insurance application requires it, the platform stores the client's name, date of birth, home address, Social Security number, contact details, and health answers, along with the coverage and quote information discussed on the call.
  • Call recordings and transcripts. Calls placed through the platform are recorded, and the audio is transcribed live during the call. Recordings and transcripts are kept as an evidence record of what was said.
  • Connected account data. When an agent connects their own email and calendar, we receive the tokens and the account information needed to send and schedule on the agent's behalf.
  • Technical data. IP address, basic browser and device information, language preference, and usage logs that keep the platform secure and working.

3. Why we collect it and how the platform uses it

We use this information to run the copilot for the agent. In practice that means the platform places the call through our calling provider, records it, transcribes it live, coaches the agent with AI suggestions during the conversation, captures the client's answers from what is said so the agent can fill an insurance application, quotes real carriers, and shares a secure link so the client can view their quote on their own phone during the call. We also use account and billing information to operate the subscription, respond to support requests, and protect the platform from abuse. We use the information only as needed for these purposes.

4. Calls are recorded and transcribed

Every call placed through the platform is recorded, and the audio is transcribed in real time so the copilot can assist the agent and so the conversation is preserved as an evidence record. The licensed agent is responsible for telling the client that the call is recorded and for obtaining the client's consent as the law of the relevant state requires. The recording and the transcript are stored so the agent has an accurate account of what was said and agreed.

5. Text messages

The platform will send a text message to a client only when that client has given verbal consent on a recorded call, for example to receive a link to view their quote. We do not send marketing text messages to clients. A client can reply to stop receiving messages at any time, and the agent can also stop them.

6. Sending email on the agent's behalf

Agents connect their own email account so the platform can send messages that come from the agent's own address, such as a follow up to a client. The platform sends on the agent's behalf using that connection. The agent controls the connection and can disconnect it at any time.

7. Advertising on the agent's behalf

When an agent chooses the advertising feature, the agent connects their own Meta and TikTok advertising accounts. The platform uses the Meta Marketing API and the TikTok Marketing API to create, preview, and manage ad campaigns on the agent's own account, at the agent's direction. To do this we handle the agent's ad account information, the campaign and creative data the agent builds, budget and performance data for those campaigns, and the contact information of leads the ads generate. The agent's ad spend is always charged to the agent's own account and payment method, never to PBG Copilot. The platform does not claim to keep an agent's advertising, or an agent, compliant. This information is stored, retained, and deleted on the same terms described elsewhere in this policy.

8. Service providers who process data for us

We share information only with the service providers that make the platform work, each under contract and only for the purpose described. We do not sell client information to anyone. Our providers are:

  • Anthropic. Provides the AI that coaches the agent during the call and reads the client's answers from the conversation to help fill the application. United States.
  • Telnyx. Places and carries the calls and sends the consented text messages. United States.
  • Deepgram. Transcribes the call audio into text in real time. United States.
  • Cloudflare. Hosts the platform and stores its data. United States region.
  • Resend. Delivers transactional email such as account and system messages. United States.
  • Stripe. Processes subscription payments. Stripe handles card details directly, and we do not store card numbers. United States.
  • Unipile. Connects the agent's own email and calendar so the platform can send and schedule on the agent's behalf. Unipile is hosted in France, which means connection data for that feature is processed outside the United States.
  • Meta. The agent connects their own Meta advertising account so the platform can create, preview, and manage ad campaigns on that account through the Meta Marketing API, at the agent's direction. United States.
  • TikTok. The agent connects their own TikTok advertising account so the platform can create, preview, and manage ad campaigns on that account through the TikTok Marketing API, at the agent's direction. United States.

9. Where your information is stored

Client application data, recordings, transcripts, and account data are stored on infrastructure located in the United States. The one exception is the email and calendar connection described above, which is handled by Unipile in France, so information needed for that feature is processed outside the United States. Access is limited to the people and systems that need it to operate the platform.

10. How we protect it

Your information is encrypted in transit and at rest. Access is limited to the people who need it to run the platform and to respond to you, and we keep the technical and organizational safeguards that a service handling this kind of information should keep.

11. Insurance information and state privacy obligations

PBG Copilot serves licensed insurance agents in the United States, and the client information the platform handles is the kind of information that state insurance privacy rules protect. The licensed agent remains responsible for the privacy notices and consents that their own licenses and state law require them to give their clients. The platform helps the agent capture and keep that information accurately, and we handle it in support of the agent's obligations, not in place of them.

12. How long we keep it

Account data is kept while the agent has an active account and for a reasonable period afterward to meet our legal and business obligations. Call recordings and transcripts are kept as an evidence record for the period the agent and applicable law require, since their purpose is to preserve an accurate account of the call. We delete or return information when it is no longer needed for these purposes or when a valid deletion request requires it.

13. We do not sell your information

We do not sell or rent personal information to anyone. Client information belongs to the client and is handled for the agent who serves that client. We share it only with the service providers listed above and with authorities when the law requires it.

14. Your choices and how to request deletion

You can ask for a copy of your information, ask us to correct it, or ask us to delete it. If you are a client and you want your information changed or removed, the fastest path is to contact the agent you spoke with, since it is the agent who holds the relationship. You can also write to us directly at [email protected] and we will act on verified requests and reply to the email you provide. An agent can request export or deletion of account data the same way.

15. Cookies and local storage

We do not use advertising cookies on this site. We use your browser's local storage for your language choice and cookies that are necessary to keep you signed in to the platform. You can clear these at any time in your browser settings.

16. Changes to this policy

When this policy changes we update the version number and the effective date at the top of this page.
